BACKGROUND
For us in HBO LAG, Job Descriptions are key to develop and maintain a Salary Structure and Total Compensation System that is both internally equitable and externally competitive. Please take a moment to review the following structure in order to guarantee that this description is complete and useful.

INSTRUCTIONS
This form is divided in eight main sections as follows:

Section 1, Organizational Information – This section reflects where does the position being described is in the organization.

Title: We should use titles that are descriptive of the nature and level of work performed, example: Vice President of Marketing. Human Resources must ensure standardization compliance.
Grade: Refers to the Salary Grade.
Code: Refers to the Job Code.
Area: Refers to the main function, for example: Marketing and Sales.
Department: Refers to the actual subdivision of the area, example: Marketing.
Location: Refers to the location where the position belongs: Coral Gables, Sunrise, Caracas, Mexico City, Buenos Aires or Sao Paulo.
Reports to: Indicate the title of the person the position reports to and not the name of the individual, example: Senior Vice President Marketing and Sales.
Date Created: Refers to the Date when the Job Description was first created.
Date Revised: Refers to the Date when the Job Description was last revised.
Legal Classification: Depending on the market, positions belong into different legal classifications, which are very important to describe, for example: Exempt or Non-exempt status, Sindicalizado y Confianza, etc.

Section 2, Position Summary – This should be a brief overview (one paragraph) where is stated the principal purpose or focus of this position. Indicate what the position is to accomplish and why the function is performed.

Section 3, Position Responsibilities- Here we should describe the major functions or activities of the job, including “essential duties”. Essential duties are defined as the primary duties of a job rather than the marginal or peripheral functions. In determining whether a function is essential you should consider the following factors: If the function is removed would it fundamentally alter the position? Does the position exist to perform this function? Are there a limited number of other employees available to perform the function, or among whom the function, or among whom the function can be distributed? Would critical peak periods of work prevent reorganizing work assignments?

Write duties clearly and concisely, using standard business language. Avoid lengthy, technical descriptions. Describe the job, not the incumbent. Spell out acronyms the first time they are noted in the descriptions. Substitute generic terms for proprietary names. Write in the present tense. Always begin with an action word and then include the “What, When, and Why” of the function. If the function is completed with someone else, include “With whom.”

Make sure language describes a behavior or action that can be observed. For example: Instead of saying has knowledge of benefit programs, say communicates benefit information and resolves employee problems. Write the job as it exists today.

Disclaimer: Each job description needs to include the following disclaimer: The above statements are intended to describe the general nature and level of work being performed by HBO Latin America Group’s employees assigned to this job. They are not intended to be an exhaustive list of all responsibilities, duties and skills required of the job. HBO Latin America Group employees will be required to follow other job-related duties requested by the supervisor (some of which may be essential).

Section 4, Skills - Identifying the skills required to perform the job is critical. We should establish the minimum level of education and/or experience necessary to prepare a person to perform the job. However, we should clearly differentiate skills that are a required as a minimum to perform the job and those skills that would be desirable.

Section 5, Performance Factors - Identifying the performance factors or behavior indicators considered key to perform the job successfully.
